RWA & Apartment Associations · India

Run your whole association from one app

The app for resident welfare associations and apartment owners associations — UPI maintenance billing, the visitor gate, member helpdesk, AGM records, vendor contracts and association accounts. One member database, one committee dashboard.

Built for the committee Member dues ledger Audit-ready accounts
EstateDeck RWA register: units with occupancy, agreements on file, parking allotment and dues per flat
The register every RWA argues about, settled: units, occupants, agreements, dues.
What it is

What an RWA management app actually does

An RWA management app is software a resident welfare association or apartment owners association uses to run its day-to-day affairs — maintenance billing and collection, the visitor gate, member complaints, AGM and committee records, vendor contracts and the association's accounts. EstateDeck does all of this from one member database, so the managing committee runs the entire association from a single dashboard — not from a pile of registers, a personal Excel sheet and three WhatsApp groups that never quite agree. Records are kept to the standard the association is audited against — the relevant state Apartment Ownership Act or Co-operative Societies Act — with GST handled under the CGST Act 2017 Rs 7,500-per-member exemption and member data processed under the DPDP Act 2023.

For the managing committee

Everything your association runs, in one place

Member-and-committee shaped — built around how an association actually works.

Maintenance billing & UPI

Set the charge per member, raise bills automatically, collect over UPI with a live dues ledger and WhatsApp reminders to members who lag behind.

Visitor & gate management

Guests, delivery and domestic staff logged at the gate, with members pre-approving visitors from the app — fewer arguments, a cleaner entry record.

Member complaint helpdesk

Members raise complaints with a photo; the committee assigns them to the right vendor and closes them with a member sign-off — instead of a 200-message group thread.

AGM & committee records

Keep meeting outcomes, resolutions and the committee structure on record, connected to the member directory and the accounts.

Vendor & AMC contracts

Lifts, generators, STP, housekeeping and security tracked with expiry alerts, so the committee never finds a lapsed AMC mid-breakdown.

Association accounting

Member-wise ledgers, income and expenditure statements and Tally-ready exports, so the statutory audit is a report you pull, not a year you rebuild.

A day in the life

One Tuesday at a 320-flat association

How a single billing cycle and a lift breakdown actually move through EstateDeck — start to closed.

Kshitij Towers Apartment Owners' Association — 320 flats / 4 towers Wagholi, Pune-412207, Maharashtra · registered under the Maharashtra Apartment Ownership Act 1970 · Tue, 02 Jun 2026
  1. 09:10AM

    June maintenance run goes out

Cmde. Anil Deshpande (Retd.), Hon. President, triggers the June cycle. EstateDeck raises 320 bills at the AGM-approved rate. Of these, 11 flats billed above the Rs 7,500/member/month CGST exemption get an 18% GST line; the other 309 are exempt — applied member by member, no manual sorting.

  2. 09:42AM

    Members start paying over UPI

WhatsApp links land with every bill. By mid-morning 188 flats have paid; the live dues ledger updates as each UPI auto-receipt posts. No one is reconciling a bank statement by hand.

  3. 11:23AM

Tower-C lift fails — a complaint, not a phone call

A resident raises a helpdesk ticket with a photo of the stalled car. EstateDeck routes it to the lift vendor on the linked AMC and flags that the contract renews in 38 days — caught before it lapses, not during the next breakdown.

  4. 02:15PM

    Vendor attends; GSTIN already verified

The technician closes the job with a photo proof and an invoice. Because the vendor's GSTIN was checked under CGST Act 2017 §22-29 at onboarding, the payable posts cleanly to the same association books used for the audit.

  5. 06:30PM

Reminders to the 46 still pending

An auto-reminder goes to the flats yet to pay. Member contact and dues data is held under DPDP Act 2023 §6 notice-and-consent — not in an open spreadsheet on a volunteer's laptop.

  6. 08:50PM

Day closes at a number, not a guess

274 of 320 flats paid on day one — an 85.6% same-day collection. The treasurer opens the income & expenditure view: June billing, the lift payable and the day's receipts are already on the books the statutory auditor will read.

What used to take the cycle: a printed bill run, a treasurer's personal Excel sheet, a WhatsApp group argument over the lift, and a year-end scramble to rebuild the books for audit. Here it is one app, one ledger, one audit trail — by 9 PM the same day.
Live in a week

From scattered registers to one app, in three steps

  1. Import your members

Upload the flat and member list as a CSV. EstateDeck builds a member directory with each unit, owner and dues ledger attached.

  2. Switch on core modules

Start with UPI maintenance billing and the visitor gate. Add helpdesk, vendor contracts and accounting as the committee settles in.

  3. Invite members & committee

Share the member app link on WhatsApp. Members pay and raise complaints; the committee runs billing, gate, vendors and accounts from the dashboard.

Why committees switch

Better collection. Cleaner audits. A committee that isn't drowning.

Collection percentage climbs

UPI plus auto-reminders means more members pay on time, so the association isn't always short at month-end.

The audit stops being a nightmare

Every rupee in and out is on the same books, so the annual statutory audit under your state act is a report you pull, not a month you lose.

Handover doesn't reset everything

When the committee changes, the new team inherits one clean system — not a personal laptop full of files nobody else can open.

Members self-serve

Pay dues, raise a complaint, pre-approve a guest — members do it themselves, so the secretary's phone stops ringing all evening.

Built to the statute

Run to the law your auditor reads

EstateDeck is shaped around the Indian frameworks an association is actually held to — not a generic global property app.

CGST Act 2017

The Rs 7,500 maintenance rule

Maintenance up to Rs 7,500 per member per month is GST-exempt; 18% applies only above it, once the association crosses the registration threshold. EstateDeck applies the exemption member by member. Vendor GSTINs are verified under §22-29 at onboarding.

State Apartment / Co-op Acts

Audited under your own state

Whether the body is registered under the Maharashtra Apartment Ownership Act 1970, the Karnataka Apartment Ownership Act 1972, the TN Apartment Ownership Act 1994 or a state Co-operative Societies Act, records and accounts are kept to that statutory standard for the annual audit.

DPDP Act 2023

Member data on a lawful footing

Phasing in from 13 November 2025, the DPDP Act treats member and visitor records as personal data. EstateDeck captures §6 notice-and-consent at collection and masks any shared Aadhaar to the last four digits per the UIDAI circular.

Built for real associations

Associations that run better on EstateDeck

Apartment owners assoc.

Single-tower AOA

A compact owners association gets billing, gate and accounts without hiring a full-time manager.

Large RWA

Multi-block welfare body

A big resident welfare association runs block-wise dues, vendor contracts and a consolidated audit from one dashboard.

Volunteer committee

No full-time staff

An all-volunteer committee splits work cleanly with role-based access, so no single person becomes the bottleneck.

Honest scope

Is this the right EstateDeck page for you?

This page is for the association. Here's where the neighbours live.

Individual owner

Letting out your own flat?

If you're a single owner renting a unit, you want the landlord-focused Residential Property Management solution, not the association app.

Campus operations

Focused on gate & amenities?

If your priority is guard-verified entry, amenity booking and staff attendance across a campus, see Gated Community Management.

Compliance & audit

Worried mainly about the audit?

For the statutory audit, deadlines and auditor access in depth, see Society Audit & Compliance. For the Rs 7,500 GST rule in depth, see GST for Housing Societies.

RWA FAQs

Questions associations ask before switching

What is an RWA management app?

It's software an association uses to run maintenance billing, the gate, member complaints, AGM records, vendor contracts and accounts. EstateDeck does all of it from one member database, so the committee runs the whole association from one dashboard.

Is this for RWAs or individual landlords?

This solution is for the association and its managing committee — member-and-committee shaped. An individual owner letting one flat is a different need, covered by the residential management solution. The two are kept deliberately separate.

How does an association collect maintenance?

The committee sets the charge per member, EstateDeck raises the bills, and members pay over UPI with auto-receipts. A live dues ledger shows who's pending, and reminders go out on WhatsApp — lifting collection without door-to-door chasing.

Does EstateDeck handle GST on maintenance?

Yes. Under the CGST Act 2017, maintenance up to Rs 7,500/member/month is exempt; 18% GST applies only above it once the association crosses the registration limit. EstateDeck applies the exemption member by member. The full GST mechanism lives on the GST for Housing Societies page.

Does it keep AGM and committee records?

Yes — meeting outcomes, resolutions and committee structure, connected to the member directory and accounts, kept to your state Apartment Ownership or Co-operative Societies Act. Voting runs in the e-voting module and the office-bearer register sits in governance.

Can the association manage vendors and AMCs?

Yes. Lifts, generators, STP, housekeeping and security contracts are tracked with renewal alerts. Vendor GSTINs are verified at onboarding under CGST §22-29, and payments post to the same accounts used for the audit.

Is it suitable for a small 40-50 flat association?

Yes. Pricing is per unit with no upfront fee, so a 40-flat association pays for 40 units and gets the same modules as a large one. Most small associations start with billing and the gate.

How does it handle accounting and audits?

Member-wise ledgers, income and expenditure statements and Tally-compatible exports. Because billing and payments post to the same books, the statutory audit under your state act becomes a matter of pulling reports.

How is member data protected?

Member and visitor records are personal data under the DPDP Act 2023, phasing in from 13 November 2025. EstateDeck captures §6 notice-and-consent at collection and masks any shared Aadhaar to the last four digits per the UIDAI circular.

What's the difference vs a gated community?

This RWA page is association-and-member shaped — the committee running billing, governance and accounts. The gated community page is operations shaped — entry, amenities, staff. Many properties use both; the pages stay distinct.
