What is alumni reunion and event management software?

Alumni reunion software runs the full lifecycle of an alumni event — invitations, RSVPs and ticketing, QR check-in, attendee management, and a post-event photo wall. CampusAlly handles reunions, homecomings, and chapter meetups end to end, with every attendee tied to your alumni network instead of living in a one-off Google Form.

Works with: Alumni directory · Chapters & community · Event invitations · Ticket payments

How a reunion comes together

Five steps from save-the-date to the photo wall — all in one place.

1

Create the event

Set the date, venue, and ticket types — free RSVP or paid tiers like early bird and couple pass.

2

Invite the right people

Target batches or cities; the segmented invite goes out through the Communication solution.

3

Take registrations

Alumni RSVP or buy tickets online, add guests, and get a unique QR pass by email and app.

4

Check in fast

Volunteers scan the QR pass with the admin app — instant, queue-free, no printed lists.

5

Keep the memories

Share a photo wall and a quick feedback survey; every attendance updates the alumni record.

Every kind of alumni gathering, handled

From a thousand-guest homecoming to a Sunday chapter brunch.

Reunions & homecomings

Run silver jubilees and batch reunions with paid tiers, guest passes, and a smooth check-in desk — even for a big crowd.

Paid ticketing

Sell tickets in tiers with GST invoices on payment. The payment itself is processed through CampusAlly's giving and finance gateways.

Free RSVP events

For a webinar or networking meet, a simple RSVP still issues a QR pass, so you get clean attendance without a ticket fee.

Chapter meetups

A chapter head can host a local coffee meet or dinner using these event tools. The chapter itself is managed in the Chapters solution.

QR check-in desk

Volunteers scan passes on the admin app for instant entry, turning a slow registration queue into a quick welcome.

Post-event photo wall

Share a gallery where alumni and the office upload and tag photos, keeping the memories — and the engagement — alive after the day.

Reunion & event FAQs

What is alumni reunion and event management software?

It is a tool that runs the full lifecycle of an alumni event — invitations, RSVPs and ticketing, QR check-in, attendee management, and a post-event photo wall. CampusAlly handles reunions, homecomings, and meetups end to end, with every attendee tied to your alumni network instead of a one-off form.

Can we sell paid tickets for reunions?

Yes. You can create paid events with multiple tiers — early bird, couple pass, life-member rate — and alumni receive a GST invoice on payment. Payments are processed through CampusAlly's payment gateways and settle to your institution's account.

Can we run free RSVP events too?

Yes. For a free networking meet or webinar, set up a simple RSVP. CampusAlly still issues a QR pass for each attendee, so you get clean attendance tracking even when there's no ticket fee.

How do QR check-ins work?

Every registrant receives a unique QR pass by email and in the app. On event day, your volunteers scan it with the CampusAlly admin app for instant, queue-free check-in — no printed lists to flip through.

Can alumni bring a plus-one or family?

Yes. When registering, an alumnus can add guest details for a spouse or children, and the system issues separate or group passes so the whole party checks in smoothly.

Can chapter heads run their own events?

Yes. A chapter head can host a local meetup or networking dinner using these event tools. The chapter itself — its members, admins, and community — is set up in the Chapters solution; this page runs the event side.

How do invitations reach the right alumni?

You target an event by batch or city, and the segmented invitation is sent through CampusAlly's Communication solution, which owns email, SMS, and app messaging. This page manages the event; communication delivers the invite.

What happens to event photos afterwards?

You can share a post-event photo wall where the alumni office and attendees upload pictures, and people are tagged manually. It keeps the memories in one place and gives alumni a reason to revisit the portal.

Can we export the attendee list?

Yes. You can download the attendee list as Excel or CSV any time — for badges, catering numbers, or security — and the data stays on India-hosted, access-controlled servers aligned with the DPDP Act, and is never sold.
