Per-class pay that
counts itself

Every class a tutor takes is logged against your timetable, so per-class pay adds up on its own at month end. Keep teacher profiles and documents, manage leave, and assign substitutes — all in one place.

What is teacher management software for coaching centres?

Teacher management software for coaching centres helps admins run their teaching staff — tutor profiles and documents, the classes each teacher takes, per-class pay, leave, and substitute staffing. In TutorDesk it connects to the batch timetable, so when a class is conducted it's logged against the teacher and flows straight into pay — no separate register to cross-check, and no manual counting at month end.

Counting teacher pay in a separate Excel sheet? Every month you tally each teacher's classes from the timetable, cross-check the attendance register, and work out pay by hand — and a covered substitute class is probably missing. TutorDesk removes the whole step by linking timetable, attendance and pay in one place.

Classes conducted × rate,
added up for you

No formula to maintain. TutorDesk counts the classes each teacher actually conducted from the timetable and multiplies by their rate. Here's a sample month for one teacher.

Line Classes Rate (₹) Amount (₹)
Physics — JEE Dropper batch2250011,000
Physics — Class 12 batch164507,200
Substitute classes covered35001,500
Leave (not payable)00
Payable for the month4119,700

Illustrative example. Substitute classes are credited to the teacher who actually covered them, and every figure links back to the class-by-class log.

Everything to run your
teaching staff, in one place

Built for the coaching reality — tutors paid per class, working across batches, with schedules that change every week.

Teacher Profiles & Roster

One record per teacher — subjects, working hours and documents — available from any device.

  • Subject tags: by subject and track (CBSE, ICSE, JEE, NEET) and grade
  • Working hours: teachers set when they're free; the scheduler respects it
  • Documents: certificates and ID stored access-controlled to admins
  • Expiry reminders: for time-bound certifications and agreements
  • Payout details: bank details held securely under DPDP Act 2023

Per-Class Attendance

Every class conducted is logged against the teacher automatically — no separate register.

  • From the app: teachers confirm a session when it starts
  • Online classes: logged when the teacher starts the live session
  • Admin control: mark or correct attendance from the dashboard
  • Planned vs conducted: see both per batch
  • Feeds pay: conducted classes flow straight into the pay total

Per-Class Pay Calculation

Pay adds up from attendance — no cross-referencing timetables and registers at month end.

  • Flexible rates: different per-class rates by subject or batch level
  • Auto total: classes conducted × rate, for every teacher monthly
  • Substitute credit: a covered class is paid to the teacher who took it
  • Pay summary: one report of all payouts, ready to process
  • No disputes: a class-by-class log sits behind every figure

Leave & Substitute Staffing

Handle absences calmly — from leave request to the right substitute, with pay landing on the right person.

  • Leave requests: teachers apply in the app; admin approves in a tap
  • Affected classes: every impacted class shown at once
  • Eligibility roster: pick a substitute from staff cleared for that subject
  • Slot & alert: the timetable slot is filled in Scheduling, which notifies students
  • Leave history: a full record per teacher for HR and appraisals

Teacher Activity — Facts, Not a Verdict

The plain facts about each teacher's work, for a human to interpret — never a black-box score that fires people.

  • Classes conducted: scheduled, conducted and missed, any date range
  • On-time starts: how often sessions began on schedule
  • Cancellations & leave: counted plainly, not weighted into a rating
  • Workload hours: weekly hours to spot overload or underuse
  • Compare teachers: deeper analysis lives in Analytics

Digital Onboarding

Bring a new teacher on board without paper forms or email attachments.

  • Onboarding form: collects qualifications, payout and agreement up front
  • ID & certificates: uploaded once, access-controlled to admins
  • e-Agreement: sign teaching agreements digitally during onboarding
  • Verified after review: a profile shows "verified" only once an admin approves it
  • Resubmit flow: reject an incomplete form with a clear reason

The facts about a teacher —
not a score that decides their job

TutorDesk deliberately does not boil a teacher down to a single "effectiveness score." A number like that invites firing by algorithm, and it hides more than it shows.

Instead you see the underlying facts — classes conducted, on-time starts, cancellations, leave, workload — laid out for a human to weigh in context. Any student feedback you collect is shown as the actual responses for a person to read, never turned into an automatic rating. Teacher records, including payout details, are access-controlled and handled under DPDP Act 2023.

What it does

  • Logs each class conducted and totals per-class pay from it
  • Shows activity facts for a human to interpret
  • Manages leave and the substitute eligibility roster
  • Keeps documents access-controlled to admins

What it does not do

  • Reduce a teacher to one effectiveness score
  • Turn student feedback into an automatic rating
  • Fill the timetable slot — that's Scheduling
  • Run cross-teacher business analytics — that's Analytics

Questions owners ask about
teacher management

Before moving off manual Excel tracking.

How does TutorDesk calculate teacher pay per class?

Each class a teacher conducts is logged against their profile from the timetable. At month end, TutorDesk multiplies classes conducted by the teacher's per-class rate to produce a pay summary. A covered substitute class is credited to the teacher who took it, not the original — so the count is always right.

Can TutorDesk manage leave and assign substitutes?

Yes. When a teacher applies for leave, TutorDesk shows every class they were due to take and lets an admin pick a substitute from staff eligible for that subject. The slot itself is filled on the timetable in Scheduling, which sends the student alert; the leave record and substitute pay credit live here.

Does TutorDesk give each teacher a single performance score?

No, and that's deliberate — a single "effectiveness score" invites firing by algorithm. TutorDesk shows the facts instead: classes conducted, on-time starts, cancellations, leave and workload hours, labelled as data for a human to interpret. Any student feedback you collect is shown as responses to read, never turned into an automatic rating.

Can I see which teacher is overloaded this week?

Yes. The activity view shows each teacher's weekly hours and classes across all batches, so you can see who's at 30 hours and who's at 10 and rebalance. Deeper comparison across teachers and batches lives in Analytics.

How is teacher attendance tracked?

Teachers confirm a scheduled class from the app, and admins can mark or correct it from the dashboard. For online classes, attendance is logged when the teacher starts the session in Live Classes. All of it feeds the per-class pay total.

Can I store teacher qualification and ID documents?

Yes. Each profile has a document section for certificates, government ID proof and agreements. Documents are access-controlled to admins and handled under DPDP Act 2023, and you can set expiry reminders for time-bound items like teaching certifications.

How is this different from general HR software?

General HR software tracks office attendance on a monthly salary model — no batches, no per-class pay, no student context. TutorDesk connects the timetable, per-session attendance, per-class pay and substitute staffing into one system for coaching tutors who are paid per class and teach across multiple batches.

How is this different from SchoolDeck's staff module?

SchoolDeck's staff module is for school teachers on monthly salaries, with biometric devices and CBSE compliance. TutorDesk's teacher management is for coaching tutors paid per class — per-session attendance, per-class pay, substitute workflows and leave — a different institutional context entirely.
