What a payslip is, legally and practically

A payslip is the employee's monthly statement of wages: what was earned, what was deducted, and what basis produced both. The labour-code framework expects wage slips to be issued, and several state rules and the Payment of Wages tradition make the practice effectively mandatory for most establishments, but the practical case is stronger than the legal one: the payslip is the document employees use for loans, visas, rentals and tax filing, and the document that settles or starts every pay dispute. A payslip that shows its arithmetic ends arguments; one that shows only totals breeds them.

The anatomy: identity, earnings, deductions, workings

A complete payslip carries four zones. Identity: employer name and address, employee name, employee code, designation, department, UAN and ESIC number where applicable, PAN, bank account (masked), pay period and paid days. Earnings: each component — basic, DA, HRA, allowances, overtime, incentives, arrears, as its own line with the month's amount. Deductions: employee PF, ESI where applicable, professional tax, TDS, and any recoveries (advances, loans) each itemised with balances where relevant. Workings: paid days against payable days, the LOP count, and ideally the basis note for computed lines, which attendance fed overtime, which structure version governed. Net pay closes the statement, in figures and words.

A worked example

A payslip for March: payable days 26, paid days 24 with LOP on the 12th and 13th. Basic ₹20,000 pro-rates to ₹18,462; HRA follows at ₹9,231; an overtime line shows 6 hours × the derived hourly rate with the total; an arrears line carries February's increment difference with a note naming the revision. Deductions: PF ₹1,800 against the ceiling note, PT ₹200, TDS ₹1,850 with the projection reference, and a ₹1,000 advance recovery showing '2 of 5'. Net pay states the figure and words. An employee reading this needs no meeting, and a labour officer reading it needs no suspicion.

The five payslip failures that cause disputes

Unlabelled deductions, a bare 'recovery ₹1,500' reads as theft to an anxious reader. Vanishing components, an allowance that silently stops without an effect-dated explanation. Wrong paid-days arithmetic, usually a punch-sync failure surfacing as pay, the single most common dispute trigger in shift workforces. Untraceable arrears, a lump 'arrears ₹3,240' with no month-wise working, indistinguishable from an error. And inconsistency across months: the same component renamed or re-ordered, which makes year-end reconciliation and loan-officer reading equally painful. Every one is a formatting decision, not a computation problem, which is why format deserves this much attention.

Payslips as the employee-facing face of compliance

Employees never see your ECR uploads or challan references: the payslip is the only compliance artifact they hold. A slip that carries the UAN, shows the PF deduction against the ceiling note, and marks ESI presence or absence correctly is, for the workforce, the monthly proof that the statutory machinery behind their employment actually runs. That proof compounds: staff who trust the slip self-serve their documentation needs, escalate less, and (the measurable effect) their loan and visa processes stop routing through HR for attestation letters, because the slips stand on their own.

A note on multilingual and shop-floor payslips

Where the workforce reads Hindi, Tamil or Bangla more comfortably than English, a bilingual payslip is cheap goodwill and real compliance value: the wage-slip expectation is about communication, not ceremony. For shop-floor workforces, the highest-value lines are paid days, overtime hours and rate, and recovery balances: the three things workers actually check at the gate. A payslip designed for its actual readers ends more disputes than one designed for the HR file.

What must never be missing from a payslip?

Are digital payslips valid?

Should the employer's PF contribution appear on the payslip?

It is not a deduction from the employee, so it does not belong in the deductions column, but showing it as an information line builds trust and pre-answers the commonest payroll question. CTC-style annexures do this once a year; a monthly info line does it better.

How long should payslip records be kept?

Wage records carry multi-year retention expectations under the labour framework, and practically you want them for the full audit horizon — keep them indefinitely in digital form. Storage is cheap; reconstruction is not.

Can a payslip be corrected after issue?
