TutorDesk Feature

Secure teacher-student chat.
No phone numbers shared.

Teachers, students and parents talk inside one app — personal numbers stay private, every message is on record for the institute, and your WhatsApp alerts still go out automatically.

What is secure chat for coaching centres?

Secure chat for coaching centres is an in-app messaging channel that lets teachers, students and parents talk without sharing personal phone numbers. Unlike a WhatsApp group, the whole conversation stays inside one branded app, numbers are masked, and the institute keeps an audit log of every chat for safeguarding and dispute resolution. TutorDesk still sends automatic WhatsApp alerts — but as one-way system messages, never from a teacher's personal number.

Running your centre on personal WhatsApp groups? Every student and parent can see your teachers' personal numbers, the institute has no view of what's said, and if a parent disputes a message, all you have is a screenshot. TutorDesk fixes all three — and still sends the WhatsApp alerts you rely on.

Privacy and oversight,
set out plainly

The whole point of secure chat is that the right people see the right things. Here's exactly who can see a personal number and who can see a conversation.

Built for teaching,
not borrowed from a business chat app

Each part below exists for one reason — to keep coaching conversations private, professional and on record.

Number Masking

Teachers and students reach each other through the app. Neither side ever sees the other's personal number.

  • In-app only: the conversation lives inside TutorDesk, not a personal app
  • Structural, not encrypted: the number simply isn't shown — clean and honest
  • No contact export: teachers can't pull student numbers off the platform
  • Stops leakage: students aren't added to personal marketing lists
  • Per-batch control: admins can keep a batch in-app only

Admin Audit Log

Every conversation is on record, so a dispute is settled with evidence — not memory.

  • Open any chat: admins can read teacher-student conversations for safeguarding
  • Append-only: messages can't be edited or deleted after sending
  • Exportable: download a full chat history as a PDF for a formal record
  • Retention: kept for the enrolment plus a configurable period
  • Disclosed up front: everyone is told at sign-up that chats are on record

Human Keyword Review

Flag the words you care about and a human admin gets a heads-up — no algorithm acts on a child.

  • You set the words: define the terms that should raise a flag
  • Surfaces to a person: a flagged message goes to an admin to read and decide
  • No auto-action: nothing happens to a student automatically (POCSO Act 2012)
  • Minor data care: handled in line with DPDP Act 2023 consent rules
  • Quiet by design: review is for safeguarding, not surveillance scores

Batch Group Chats

One channel per batch, with controls that keep it academic and easy to follow.

  • Auto-created: a group already exists for every batch you set up
  • Announcement mode: teacher-only posting when you just need to broadcast
  • Threaded replies: students reply to a message without cluttering the feed
  • Mute, don't remove: quiet a student without dropping them from the batch
  • Same log: group messages sit in the same audit trail

In-App File Sharing

Share notes and voice notes in the conversation — and find them again later, not buried in chat.

  • Rich media: PDFs, images of handwritten sums, voice notes, short clips
  • Saved to the library: shared files land in the student's content library
  • Scanned first: uploads are checked before they can be downloaded
  • Batch broadcast: send one PDF to a whole batch at once
  • Stays available: resources remain accessible through enrolment

WhatsApp System Alerts

Reach families on WhatsApp without a single teacher using a personal account.

  • Branded sender: messages go out from your institute's WhatsApp Business account
  • TRAI DLT: sent as registered one-way utility templates
  • One-way: system alerts, not two-way personal chats
  • What to send: attendance & result alerts → Parent Communication
  • Fee reminders: handled in Fee Collection

A person reviews flagged messages —
not an algorithm

Because coaching students are often minors, TutorDesk is deliberately careful here. The system can flag a message, but it never decides anything about a child on its own.

You choose the words that raise a flag. When one appears, the message is surfaced to a human admin to read in context and decide what to do. That keeps oversight genuine and safe — and keeps it on the right side of POCSO Act 2012 (no automated decisions on minors) and DPDP Act 2023 (verifiable parental consent for under-18 data).

What it does

  • Keeps every chat in an append-only log an admin can open
  • Flags the words you choose and surfaces them to a person
  • Masks personal numbers by routing chat through the app
  • Sends one-way WhatsApp alerts from your branded sender

What it does not do

  • Take any automated action against a student
  • Score, profile or rate students from their messages
  • Claim end-to-end encryption — masking is structural, not crypto
  • Read messages on devices outside the platform

The hidden cost of personal WhatsApp isn't only privacy — it's accountability and reputation when something goes wrong.

Questions owners ask
before they switch

Privacy, oversight, and how this compares to what you're using now.

Can students or teachers see each other's phone numbers?

No. Number masking means all messaging happens inside the TutorDesk app, so teachers and students never see each other's personal numbers. It keeps a teacher's private number off student devices and stops contact moving to channels the institute can't see.

Can admins read teacher-student messages?

Yes, and everyone is told this at sign-up. Admins can open the chat between any teacher and student for safeguarding and disputes. The system can flag messages with words you choose, but it only surfaces them to a human admin to review and decide — no automated action is taken on a student, in line with POCSO Act 2012 and DPDP Act 2023.

How does number masking actually work?

Messaging is routed through the app, so a personal number is never shown to the other person. This is structural access control — the number simply isn't displayed — not encryption. We say that plainly rather than calling it something it isn't.

Does TutorDesk still send WhatsApp messages to parents?

Yes. System alerts go out through the WhatsApp Business API from your institute's branded sender, registered on TRAI DLT. They're one-way utility messages, not two-way chats, so no teacher's personal number is used. Which alerts go out is set in the Parent Communication guide.

What if a parent disputes something a teacher said?

Every message sits in an append-only log, so an admin can open and export the full chat as a PDF. Messages can't be edited or deleted after sending, which makes it a far more reliable record than a screenshot from personal WhatsApp.

Can I pause chat for one student without removing them?

Yes. An admin can mute or revoke a single student's messaging — say, as a disciplinary step — without touching their batch enrolment, attendance or study materials. Access can be restored any time from the admin panel.

Can a teacher run one chat for a whole batch?

Yes. Each batch has a group chat, and the teacher can switch it to Announcement Mode so only they can post — handy for notes and reminders without the thread filling with off-topic replies. Every group message is in the same audit log.

Is the chat on the student and parent app?

Yes. The full chat is in the TutorDesk student app with push notifications, and parents get a parent view. Notifications and offline behaviour are covered on the Mobile App page.

Where do I set up automatic parent updates like attendance and results?

This page covers the messaging channel itself. The workflows for keeping parents updated — attendance alerts, result sharing and reminder cadence — are set up in the Student & Parent Communication guide, and fee reminders live in Fee Collection.
