Common questions about security, privacy, and how TutorDesk's communication module compares to what you're already using.
Why should coaching centres stop using personal WhatsApp for student communication?
Personal WhatsApp exposes teacher phone numbers to all students, gives admins no oversight over what is said, has no audit trail for dispute resolution, and has no connection to fees or attendance records. TutorDesk keeps all communication professional and logged — while still delivering WhatsApp alerts automatically from your institute's Business account.
Can students or teachers see each other's phone numbers?
No. Number masking means all communication happens within the TutorDesk app. Teachers and students never see personal phone numbers. This protects tutor privacy and prevents students from contacting teachers outside official institute channels.
Can admins read private teacher-student messages?
Yes. For child safety and dispute resolution, admins have Superview access to all chat transcripts. The system also automatically flags messages with inappropriate keywords and alerts the admin. All participants are informed at sign-up that conversations on the platform are subject to institutional monitoring.
Does TutorDesk still send WhatsApp messages to parents and students?
Yes. TutorDesk uses the WhatsApp Business API to send automated alerts — class reminders, fee due notices, result announcements — directly to parents' and students' WhatsApp numbers. These are one-way system alerts sent from your institute's branded Business account. Teacher personal numbers are never used.
What happens if a parent disputes something a teacher said?
Admins can search and export the full chat transcript between any teacher-student-parent combination as a PDF. Messages cannot be deleted by teachers or students after being sent. This tamper-proof log is the official record for any dispute — far more reliable than screenshots of personal WhatsApp conversations.
Can I disable chat for a specific student without removing them from the batch?
Yes. Admins can revoke messaging privileges for individual students — for example, as a disciplinary action — without affecting their batch enrolment, attendance tracking, or access to study materials. Chat access can be restored at any time from the admin panel.
How are files shared in chat organised?
Any file shared in TutorDesk chat — PDF notes, images of problems, voice notes — is automatically saved to the receiving student's LMS content library. Files don't get buried in chat history. Students can access all teacher-shared resources from the Materials section in their app even months later.
Is TutorDesk's chat available on mobile for students and parents?
Yes. The TutorDesk mobile app includes the full chat interface for students and a parent-facing portal. Students message teachers directly from the app, view shared files, and receive push notifications for new messages. This is covered in detail on the TutorDesk Mobile App page.
